North Shore Executive Functioning is seeking a motivated and organized individual to join our team as a Marketing & Intake Coordinator. This dynamic role combines client intake with marketing responsibilities. The Marketing & Intake Coordinator will be responsible for conducting exploration calls with prospective clients (primarily from North America), managing the intake process, and assisting with social media marketing efforts. This is an excellent opportunity for someone who enjoys engaging with people, sharing support resources, and organizing client intake processes.

About North Shore Executive Functioning:

North Shore Executive Functioning is a virtual coaching company dedicated to empowering individuals of all ages to develop and enhance executive functioning skills. Our mission is to help clients thrive academically, professionally, and personally by providing tailored coaching and targeted resources.

Responsibilities:

  • Conduct exploration calls providing prospective clients with information about our services, answering their questions, and thoughtfully guiding them through the coach match process.
  • Assist with social media marketing tasks, including content creation, posting, and engagement across platforms.
  • Manage client documentation to ensure all contact details and relevant information are accurate and up-to-date.
  • Help create and maintain spreadsheets and documents to track client data, intake progress, and other relevant metrics.
  • Draft and format email communications to new clients, ensuring clarity, professionalism, and consistent brand messaging.
  • Collaborate with the team to streamline intake processes and improve client onboarding efficiency.
  • Ensure the confidentiality of sensitive client and company information.
  • Support other administrative tasks and marketing projects, as assigned.

Requirements:

  • Proven experience in client-facing roles with a strong ability to compassionately and patiently engage with potential clients.
  • Excellent communication skills, both written and verbal, with the ability to conduct professional phone calls and compose thoughtful emails.
  • Strong organizational skills and excellent attention to detail.
  • A trustworthy and reliable individual who can handle sensitive information responsibly.
  • Located in North America in order to take calls within US timezones.

Preferred, but not required: 

  • A solid understanding of social media marketing principles; experience creating engaging content across platforms is preferred. 
  • Familiarity with marketing and design platforms such as Canva, Facebook, Instagram, and LinkedIn is an asset.
  • Familiarity with CRM systems such as ActiveCampaign, scheduling tools like Acuity, and project management systems such as Asana is an asset.
  • Understanding and/or experience with neurodiverse populations 

Reporting:

The Marketing & Intake Coordinator will report directly to the Operations and Business Manager.
